Pryor Public Schools invites proposals for school photography services for the 2023-2024 school year.
All proposals must be received by 4:30 p.m. on January 20, 2023.

DESCRIPTION
Request for Proposal for School Photography
Request for Proposal (RFP) Invitation Pryor Public Schools is soliciting proposals from qualified vendors to provide school pictures and photography services relative to school-based activities.
This RFP covers school pictures and photography services for all school levels and campuses –elementary (3), middle (1), and high school (1)—and the Education Service Center. The objective of this RFP is to appoint one vendor to provide services to all locations within the district. Vendors must submit responses that address all school levels.
Pryor Public Schools will accept proposals delivered in person, by courier, or by USPS to the Pryor Education Service Center located at 405 SW 1st Street, Pryor, Oklahoma. The mailing address for the district is P.O. Box 548, Pryor, Oklahoma 74362. The Pryor Education Service Center is open to the public Monday through Friday from 8:00 a.m. to 4:30 p.m. All proposals must be received by 4:30 p.m. on January 20, 2023, to be considered a responsive proposal. Proposals submitted by fax or email will be considered non-responsive and will not be accepted. Pryor Public Schools reserves the right to allow a submitting vendor to cure any technical defects with its submission at the district’s sole discretion. Responsive proposals shall provide that the terms of the proposal will be valid throughout the 2023-2024 school year.
Each proposal shall include costs for school pictures and photography services for each school level. Proposal evaluations and subsequent contract award will be based upon the best perceived value to Pryor Public Schools. Five (5) copies of the proposal and one (1) signed original document must be submitted in a sealed envelope clearly marked on the outside with the name, address, contact person, phone number, and email address for the firm responsible for the proposal. The envelope must also be marked “RFP—School Photography.” Documents delivered by mail should be addressed to:

Any information provided in a proposal becomes available for public inspection and distribution as required under the Oklahoma Freedom of Information laws.
This RFP is not a low-bid price competition. Instead, proposals will be evaluated in accordance with the submitter’s responsiveness to the requirements set forth in the RFP. Any contract awarded will be based upon the best perceived value to Pryor Public Schools.
All proposals will become the property of Pryor Public Schools at the time of submission.

Please find the attached material list and provide one quote for the supplies. Quotes are due November 16, 2022.
Links on the spreadsheet below are intended to be examples and are not mandatory items. We prefer name brands but an equivalent quality brand may be substituted.
Once a quote has been approved by administration, all participants will be notified of their standing, and the requisition process will begin for the winning quote. It may take up to two months for the PO to be approved by the board and passed to the winning vendor.
We will be gone for Christmas break between Dec. 16th – Jan. 2nd and will not be able to receive any materials.
